This notice covers this website, enquiries and a possible working relationship. Swiss data protection law applies. The EU GDPR also applies where its territorial conditions are met; accessibility from the EU alone does not establish its full application.
2. Data and purposes
We receive names, contact details, any business information, messages, appointment requests and assignment details you provide. These are used to answer enquiries, prepare quotations, arrange appointments, perform and invoice services, handle complaints and protect legal claims. Information may also come from contacts you designate.
Only details needed for the particular purpose are required. Without contact details we cannot reply; without essential assignment details we cannot properly handle the work. Other information is voluntary.
3. Legal grounds
We observe Swiss rules on transparency, purpose limitation, proportionality, security and international transfers. Where GDPR applies, Article 6(1)(b) covers pre-contract steps and contracts, (c) legal obligations and (f) necessary security, organisation, business communications and evidence. Our legitimate interests are secure operations, orderly communication and legal claims. Separate consent under (a) is used only where needed for a specific additional activity.
4. Web hosting & technical data
This website is hosted by Hostinger. The web server is located in Frankfurt am Main, Germany. Requests generate technical server logs including IP address, time, requested page, response status and browser details. These support delivery, troubleshooting, stability and prevention of abuse.
Hostinger processes hosting data as a service provider for Novia Services. The links below describe the Hostinger group, subprocessors, international processing and safeguards. A server in Germany does not exclude other processing, for example by support teams or subprocessors. For information about the processing of your data, contact info@noviaservices.ch.
5. Local message draft
The enquiry form does not itself send your input to Novia Services or a form server. The draft is processed in this browser window. Email is sent in your chosen mail application; copying writes to your clipboard at your request and downloading an EML saves the draft to your device. These features use neither Local Storage nor Session Storage.
Opening WhatsApp already passes the prepared message to WhatsApp as a link parameter, before actually sending it there. Choose email if you do not want that transfer. An enquiry is neither marketing consent nor a paid order.
6. Email, phone & WhatsApp
Email at info@noviaservices.ch is handled through Hostinger, including message content, sender/recipient addresses and delivery data. Hostinger identifies processing notably in Lithuania, Cyprus, the Netherlands and the United Kingdom; further subprocessors are described in its documents. The actual service and storage location remain relevant to the processing arrangement.
Phone details are used to handle your enquiry; the website does not record calls. WhatsApp is optional and processes numbers, communications and usage data under its own notices, including links to Ireland and the United States. Email and phone remain alternatives. We agree a suitable route for confidential documents.
7. Booking with Calendly
No calendar is embedded. A connection to Calendly, LLC, United States, is made only when you open the external booking link. Calendly may then process your IP, browser and the name, email, phone and appointment details you enter. A selected service may be passed in the link without the personal information in your draft.
We receive the booking information needed for organisation, confirmation and preparation. Calendly may use its own cookies and providers. It identifies EU-/Swiss-U.S. DPF and standard contractual clauses among its transfer tools. Its current notices apply. You can also arrange a call by email or phone.
8. Cookies, storage & external links
The code supplied by Novia Services uses no analytics, advertising or tracking cookies. Fonts and images are served locally. There are no analytics pixels, social widgets, embedded videos or maps. Language and service choices pass through ordinary URLs without a stored personal profile.
The site embeds no analytics or advertising services, and its own functions use neither Local Storage nor Session Storage. No consent banner for optional site-owned cookies is therefore loaded. Technical hosting logs are separate from cookies. The provider information linked below describes Hostinger’s processing.
YouTube/Google, LinkedIn, Google Maps, WhatsApp and Calendly are external links. Opening them passes data to the chosen provider, whose own cookies and notices apply. We do not assume blanket consent on your behalf.
9. Recipients & international transfers
Access is limited to necessary recipients: Jonathan Novia, communication and delivery providers and, for an assignment after required agreement, suitable specialists. Authorities, financial services or advisers may receive data where a concrete legal or contractual basis exists. We do not sell personal data.
Besides Switzerland, the services notably involve Germany, Ireland, Lithuania, Cyprus, the Netherlands, the United Kingdom and the United States. Further countries may be listed in providers’ subprocessor lists. Transfers we arrange require recognised protection: adequacy, a DPF certification valid for the specific case or appropriately supplemented standard clauses. A provider privacy notice does not replace that assessment. Ask info@noviaservices.ch for recipients and safeguards relevant to your data.
10. Retention & security
A browser draft alone is not stored on a website server; you manage downloaded files and your clipboard. Received enquiries are kept as needed to resolve them, manage any resulting relationship and meet evidence requirements, then deleted or anonymised unless retention obligations remain.
Contract and accounting records follow statutory requirements. In Switzerland, books and accounting documents are generally kept for ten years after the financial year ends. Data needed for claims may be retained until resolution or expiry of the applicable period. Providers’ technical data follow their notices. The site uses HTTPS; absolute security of every communication channel cannot be guaranteed.
11. Your rights
Under applicable law you can request access, correction and deletion and, where conditions are met, data delivery/portability, restriction and objection. Consent can be withdrawn for the future. Where Article 21 GDPR applies, your particular situation may justify objection to legitimate-interest processing; you can object to direct marketing at any time.
Contact info@noviaservices.ch. Proportionate identification may be required. We respond within statutory deadlines: generally 30 days in Switzerland and one month under GDPR. Legal retention duties or overriding interests may limit immediate deletion.
12. Authorities, decisions & updates
You may contact the Swiss Federal Data Protection and Information Commissioner (FDPIC) ↗. Where GDPR applies, you may also complain to the authority of your residence, workplace or the alleged infringement. The site does not make automated decisions with legal or similarly significant effects; the local service selector is indicative only.
These notices are updated when functions or providers change. The date above identifies this version.
